What is a call sheet?

A call sheet is the single page that tells everyone working on a film or TV production where to be, when to be there, and what is being shot that day. It goes out the evening before each shoot day, usually from the 2nd assistant director, and it is the document the whole crew works from the next morning.

One call sheet covers one shoot day. A 20 day shoot means 20 call sheets, each built from that day's portion of the shooting schedule.

What goes on a call sheet?

Every call sheet carries the same core blocks, which is why the template above is laid out the way it is:

  • Call times. General crew call, talent call, shooting call, lunch and estimated wrap.
  • The day's schedule. Every scene in shooting order with scene number, a one line description, day or night, which cast are needed, the location, page count and estimated duration.
  • Cast. Numbered cast list with pickup, hair and makeup, on set and wrap times, plus each actor's DOOD status.
  • Crew. Every department, who is called and when.
  • Locations. Shoot locations, the sets being used at each, parking, and the nearest hospital.
  • Base camp and weather. Where the trucks are, plus conditions, sunrise and sunset, which decide how much daylight you actually have.
  • Safety. Hazards for the day and the emergency contact on set.
  • Advance schedule. What is shooting tomorrow, so departments can prep.

What is a banner on a call sheet?

A banner is a row that sits between scenes in the schedule to mark something that is not a scene but still takes time: a company move to another location, a meal break, a turnaround. Using the + Add Banner button above puts one in, with its own duration, so the day's timings stay honest. Banners are the difference between a schedule that looks achievable and one that actually is.

Who makes and sends the call sheet?

The 2nd assistant director normally prepares the call sheet, the 1st AD and the production manager approve it, and it goes to the full cast and crew the night before, usually by email. On a small production the producer or a production coordinator often does all three jobs.

How to use this template

Click any field and type. Use the add buttons to put in as many scenes, cast, crew, locations and banners as the day needs, then press Download PDF and choose "Save as PDF" as the destination. What you type is kept in this browser so you can come back to it later.

Is this call sheet template free, and is my data private?

It is free with no signup and no email required. Everything typed into it stays in your own browser and is never transmitted anywhere. That is deliberate: a filled call sheet carries crew mobile numbers and a hospital address, which is not data worth handing to a website. You fill it in and download it as a PDF.

Or stop filling this in by hand

This is the same call sheet Film Logic builds from your script, just handed to you empty. In the app the breakdown feeds the schedule, the schedule feeds the call sheet, and the call sheet feeds a live day view your crew opens on their phones. Scenes, cast and locations fill themselves in, so a change to the schedule is already there the next time you build the day. A call sheet you have already sent is still a PDF in someone's inbox: that one gets reissued as a revision, the same as it would anywhere else.
